THE POSITION

The Colorado Sun is seeking a highly organized, detail-oriented and proactive professional to serve in a hybrid role combining Office Management, Executive Support and Operational Coordination. This position is central to ensuring the smooth operation of our fast-paced, mission-driven newsroom. The ideal candidate is a flexible problem-solver who thrives in a dynamic nonprofit environment, enjoys supporting executives, and takes pride in creating efficient systems that allow our team to focus on impactful journalism and our organization to meet its goals of revenue growth, geographic expansion, and long-term public impact.

KEY RESPONSIBILITIES

  • Provide direct administrative support to the Publisher, Editor, COO and leadership team
  • Manage complex calendars, schedule meetings, and coordinate logistics for internal and external events
  • Prepare meeting agendas, take minutes, track action items, and follow up as needed
  • Draft, edit and manage correspondence, reports and presentations on behalf of leadership
  • Develop and maintain systems to manage and organize internal documents through Google Drive
  • Serve as a professional point of contact with board members, donors, partners and stakeholders
  • Oversee day-to-day office operations, including mail, supplies, subscriptions, equipment, banking, facilities coordination and operational needs
  • Serve as liaison with building management and vendors; track and reconcile vendor contracts and invoices
  • Maintain a welcoming, well-functioning hybrid office environment for staff and visitors
  • Support HR function including onboarding logistics, complaint processing, absence tracking, staff announcements and employee-recognition initiatives
  • Track organization goals and performance
  • Support hiring process including assisting in job description development, applicant tracking and interacting with prospective employees through the hiring process and the subsequent onboarding process
  • Support employee evaluation and performance management processes
  • Assist COO in managing organizational workflows, systems, process improvements and strategic planning and budgeting efforts
  • Support sales-related accounting functions: invoicing, account reconciliation, statement management and customer engagement
  • Help manage project timelines, track deliverables and ensure deadlines are met across departments
  • Coordinate logistics for company-wide meetings, staff retreats and training sessions
  • Maintain and update organizational records, policies and operational documentation
  • Monitor and manage inquiries in billing and customer service inboxes
  • Manage inventory, order fulfillment, and profit and loss tracking for The Colorado Sun store
  • Provide cross-functional support to editorial, revenue, development and membership teams

Qualifications & Experience

  • 10+ years of experience in operations, executive support or office management
  • Highly organized and detail-oriented, able to juggle multiple priorities
  • Strong communicator — clear, personable and professional
  • Comfortable with Google Workspace, Slack, Zoom and project-management tools
  • A proactive teammate who thrives in small, mission-driven environments
  • Self-awareness, humility and comfort asking for and accepting critical feedback
